Start with the accounting record

With an agreed integration and authorised access, Tempest retrieves the latest available balance, due date and reminder stage from the management company’s accounting software. The accounting platform remains the source of truth for the resident account.

Work through the channel that suits the team

A property manager can review arrears and prepare follow-up through connected Tempest channels, including Tempest OS, Outlook and WhatsApp.

Prepare the right reminder

Filter accounts by development and reminder stage, then prepare a one-off or recurring reminder using the agreed wording. The draft can include the current outstanding balance, relevant account details and the management company’s approved payment link.

Where a resident responds to a reminder, Prospero can continue the arrears conversation directly — asking about the account, explaining the position and discussing a proposed repayment plan — using the management company’s agreed policy and wording.

Upload your debt management policy and Prospero uses it to guide the conversation. Repayment plans follow the agreed process and remain available in Tempest OS for manager review.

Credit control has always been vulnerable to inconsistency: different staff, different approaches and different outcomes for the same situation. Prospero helps reduce that variability by applying the same agreed policy and process consistently across resident conversations.

Review before anything is sent

The property manager checks the audience, account information, reminder stage and message before sending. Where configured, the matched accounts can be refreshed from the accounting software at delivery time so the action is based on the latest available record.

Support leasehold, BTR and PRS teams

The same operational pattern can support agreed service charge or other leasehold arrears workflows, as well as rent arrears for BTR and PRS portfolios. The exact account types, reminder stages, wording, payment route and approval controls are configured for each management company.

Operational and legal limits

This workflow requires a supported accounting API, authorised access and an agreed integration. The accounting and payment systems remain responsible for balances and payment processing. Prospero conducts arrears conversations within the policy and wording supplied by the management company. It does not make legal decisions, issue formal notices or conduct debt recovery. Those remain with the management company and its professional advisers.
